How to: Manage Aware user access

From the Users tool, Administrator users can create or delete Users, and can change the User group to which a user is assigned.

Tip

To enable RTSP streaming, you must manually create a new user that is assigned the RTSP onlyUser group.

Prerequisites

To manage Users, you must have Administrator privileges.

Task — Open the Users tool

  1. Log in to your Ava Aware deployment as an Administrator.
  2. Click New tool from the tool ribbon, or click the Add new tool button Add new tool button, then select Users tool button Users.
    Tip

    If the Users tab is already open, click the tab to view the page.

Task — Create users by importing from LDAP

  1. Click the Add users button add users button.
    The Add users dialog opens.
  2. Select Import from LDAP.

    To configure a new LDAP server connection:

    1. Click the Add LDAP Server buttonAdd LDAP Server button.
    2. Specify the requested information for the LDAP server to which you are connecting.
      Tip

      To use Secure LDAP (LDAPS), ensure you enable Use TLS.

    3. Optionally, select Automatically add new users to, and select your required User group.
    4. As needed, add additional information (BaseDN, Filter, Mapping) for extra LDAP sources.
    5. Click Add.

    To edit the details for an existing LDAP server:

    1. Click the Edit LDAP Server buttonEdit LDAP Server button adjacent to the server of interest.
    2. Specify the information to change for the LDAP server.
    3. Specify the requested information for the LDAP server to which you are connecting.
    4. Optionally, select Automatically add new users to, and select your required User group.
    5. As needed, add additional information (BaseDN, Filter, Mapping) for extra LDAP sources.
    6. Click Update.
  3. Click the Sync buttonSync button to fetch the list of users from your LDAP server.

    If you enabled Automatically add new users to, those users are now part of your selected User group.

  4. If you did not select Automatically add new users to a user group, select the users to be added from the list.
  5. Click Next.
  6. Choose the User group for each user.
  7. Click Done.

Task — Manually add users

  1. Click the Add users button add users button.
    The Add users dialog opens.
  2. Select Add manually and provide the requested information.
  3. Choose to either configure the user:
    • Without temporary password — a password reset email is sent to the user.
    • With temporary password — the user is prompted to set a new password the first time they log into Aware.
      Type and confirm the temporary password.
  4. Select the User group for the User.
  5. Click Save.
  6. To set up multiple users, repeat the above steps for each person.

Task — Change the User group for a user

  1. Select the user to change; hover over the user name, and click the checkbox to the left of their user name.
    Tip

    You can simultaneously apply the same change of User group to multiple users by selecting each relevant user.

  2. Click the Edit user button edit users button.
  3. From the Change user group dropdown list, select the user group to which the user is to be moved. By moving Users to User groups with different access mechanisms, you can control how each user can access your Aware deployment.
    Tip

    Moving a user to a User group that contains the RTSP streaming access mechanism blocks that Users access to the Aware user interface.

  4. Click Done.

Task — Unlock a user account from Aware

  1. Select the user to have their account unlocked.
  2. From General info on the details pane, select User settings.
  3. Click Security.
  4. Click Unlock user.
  5. (Optional) You can amend the lock period by clicking the Edit button Edit button.
    Make the required changes to the selected locking time.
    Click Lock to confirm the updated lock information.
  6. Click Done to close the Edit user dialog.

Task — Force a password change on next sign in

  1. Select the user (or users) to have a forced password change.
    To enforce a password change for multiple users, hover over each user and click the checkbox to the left of their user name.
  2. Tip

    Only manually-added users can have forced password changes. For users added from LDAP, their LDAP password is used.

  3. From the details pane to the right (for a single user) or from the Edit users dialog for one or more users), select Force password change on next sign in.
  4. Click Done.

Task — Send an email with a password reset link

Tip

For the Send an email with a password reset link to work, your Aware deployment must either be configured for remote access or must have its External URL set. Without one of these options, Aware cannot send the password reset email.

  1. Select the user (or users) to to be sent a password reset email.
    To sent multiple users a password reset link, hover over each user and click the checkbox to the left of their user name.
  2. Tip

    Only manually-added users can have forced password changes. For users added from LDAP, their LDAP password is used.

  3. From the details pane to the right (for a single user) or from the Edit users dialog for one or more users), select Send email with password reset link.
  4. Click Done.

Task — Delete a user from Aware

  1. Select the user to remove; hover over the user name, and click the checkbox to the left of their user name.
    Tip

    You can remove multiple users by selecting each relevant user.

  2. Click the Edit user button edit users button.
  3. Click Delete user.
  4. Confirm that you want to complete this action.
  5. Click Ok.
